Keep Things in Order

Do you ever put on an event and think, "we should change this part for next year" or "this was a great idea maybe next time we should keep doing this" but you never remember it when the next year comes around?

Having a binder and/or a folder containing your ideas can benefit your group when it comes down to project planning. Whether it is a fundraiser to a volunteering experience, keeping all the steps and information in an organized way can make your group successful. In this binder have a page that contains the Who, What, When, Where, Why, and How. You can full all these out and include other information, such as contact numbers for a company or someone that helped in the past, who deserves a thank you note, and the costs/budget used. You can also provide a summary of what things went really well and what things could have been added or removed. With all these suggestions you can put them into a binder labeled accordingly to be passed down throughout the years, so whenever there is a new member taking on a certain activity they will have a resource to look back on and be able to have a better idea as to how to organize your event to the best of their ability. Even if the next chairperson is not new, they will be able to look back into this binder and recall everything that went well and be able to improve their project from last time.

You can do these resource binders for each time you have a chairperson take on an event, and they can also include a committee sheet so you can try to keep track of what members in your group are helping out. This is another benefit because your Executive Board can look over and be able to evaluate members' performance and the Executive Board can take this information to keep track of student involvements. These are especially helpful when your group is in their busy time of the year, maybe Homecoming, where so many activities are going on and members need to be more independent.
